ASSOCIATE VICE PRESIDENT FOR FINANCE AND CONTROLLER

REPORTS TO:                Senior Vice President for Finance and Treasurer

GENERAL DESCRIPTION

The Associate Vice President for Finance and Controller position reports to the Senior Vice President for Finance and Treasurer. The position is responsible for overseeing the general accounting and financial reporting functions of the university. It is responsible for leading areas of the Business Office by supervising the offices of accounting, accounts payable, general accounts receivable, payroll and benefits, and purchasing. The position assists the Senior Vice President for Finance and Treasurer in the budgeting process and provides reporting support.

It oversees that University funds are properly received, spent, and reported in accordance with university policies and state and federal regulations. It is responsible for implementing and reviewing necessary internal controls that ensure that University assets are adequately safeguarded. The position is responsible for overseeing that financial information is accounted, prepared, and reported for in accordance with university policies as well as generally accepted accounting principles (GAAP).

The Southern Wesleyan University Business Office is dedicated to supporting the University’s community and assisting in understanding and managing budgeting and financial information.

RESPONSIBILITIES

The Associate Vice President for Finance and Controller leads the Business Office by supervising the office’s accounting, accounts receivable, accounts payable, payroll and benefits, and purchasing areas.

1. Maintains accounting records and produce accurate and timely financial and business activity reports for management, agencies, and the Board of Trustees.
2. Maintains the University’s administrative software’s business office module that which includes accounts payable, accounts receivable, general ledger, and purchasing, and Human Resource module’s payroll functions and assists in implementation of updates and changes.
3. Responsible for the overall accuracy of the general ledger.
4. Responsible for month-end, calendar year-end and fiscal year-end general ledger and payroll closing processes.
5. Prepares internal financial statements and reports.
6. Prepares for and leads the University’s annual independent, pension plan, and special purpose audits.
7. Prepares related reports for IPEDS, SACS, and other agencies.
8. Responsible for reconciling student grants and aid awards between the Financial Aid Office and the general ledger, and for drawing funds from the U.S. Department of Education for various institutional aid programs, such as Pell, FWS, FSEOG, FDSL, Perkins, and other  Federal  grant programs.
9. Establishes and monitors internal controls and procedures for areas of supervision.
