Registration and Catalog Specialist – Office of the University Registrar

POSITION SUMMARY: This position is responsible for the editing, technical duties, and oversight associated with the update and maintenance of the University’s Undergraduate and Graduate/Professional Catalogs housed within the University’s content management system, Omni. In addition, this position will serve as the registration specialist and have responsibility for overseeing and managing registration updates that come through the Office of the University Registrar. This position will assist those needing services or products from our office and will work on various projects in parallel with events scheduled on the Academic Calendar (registration, graduation). In addition, the incumbent will provide budget support, manage deposits, requisitions, invoices, and PCard accounts. This position consists of highly-skilled work requiring the exercise of initiative and independent judgment in completing tasks. This individual shall demonstrate organizational skills, accuracy, diplomacy, and good interpersonal skills. This individual should also have the ability to handle complex administrative tasks with proven ability to perform independently.
DUTIES AND RESPONSIBILITIES: Works across all schools and administrative and academic departs on the annual updates to the university’s Undergraduate and Graduate/Professional Catalogs. Ensures that catalog design and content are consistent with established format and standards and that information is accurate, timely, and relevant. Work across all schools to oversee and manage registration changes for students once the add/drop period has ended. Ensure compliance with established policies, practices, and deadlines. Provides support and assistance for constituents, including students, faculty, staff, and third-parties. Assists in the preparation and distribution of various communications to students and staff members. Works closely with numerous departments within the university such as Student Accounts, Financial Aid, Admissions, and all schools and academic departments, providing support and assistance for constituents, including students, faculty, staff, and third parties. Assist with graduation processing for each of the university’s three terms. Prepare and maintain confidential data in accordance with established policies and procedures. Completes other duties as assigned to support the functions of a dynamic and team-oriented environment.

REQUIREMENTS: Minimum qualifications: Experience in a registrar’s office or within a higher education setting; high school diploma and continuing education supplemented by courses in technology, education or the liberal arts. Preferred qualifications: Bachelor’s degree from an accredited institution. Alternately, the successful candidate may possess any equivalent combination of experience and training, which provides the knowledge, skills and abilities required to perform the essential job functions. This includes, but is not limited to, the following: Strong communication skills both oral and written. Ability to work effectively with others in an efficient and respectful manner. Attention to accuracy and detail while multi-tasking. Proficiency with the PC and Microsoft Office Software. Prior experience with content management systems or web applications. Ability to make decisions in accordance with established policies.
