OVERALL RESPONSIBILITY: The Policy Associate is a key member of the Office of General Counsel, responsible for developing, maintaining, and implementing institutional policies to ensure compliance with federal, state, and accreditation standards. This position leads the drafting and revision of policies and procedures, will take lead on developing and manage the institution’s Operations Manual, and collaborates across departments to ensure consistent and up-to-date policy enforcement and communication. The Policy Associate plays a central role in institutional governance by advancing transparency, coordination, and compliance through effective policy management.

Examples of Duties -
ESSENTIAL DUTIES:
Policy Development and Management - Serve as project lead in drafting, revising, and maintaining institutional policies and procedures, including coordination with subject matter experts and legal counsel.
- Develop, maintain and regularly update the institution’s Operations Manual, ensuring all policies reflect current legal, regulatory, and institutional standards.
- Establish and oversee a policy review schedule to ensure timely updates and sunset outdated content.
- Develop guidelines, and reference materials to support internal stakeholders in drafting compliant documents.
Cross Departmental Coordination
- Contribute and Support efforts to bring an equity and inclusion lens across policy areas.
- Collaborate with academic and administrative units to align policies across departments and promote a consistent institutional approach to compliance and operations.
- Facilitate policy review committees or working groups, as appropriate, to gather input, provide guidance, and build consensus.
- Track pending legislation and regulatory changes to inform internal stakeholders and trigger relevant policy updates.
Enforcement and Implementation
- Support implementation and enforcement of institutional policies by working with departmental leads to ensure clarity, training, and accountability.
- Monitor adherence to institutional policies and procedures, and support efforts to remediate non-compliance in collaboration with appropriate departments.
- Serve as a liaison to relevant institutional governance bodies or working groups on matters involving policy review and shared governance.
Risk Management and Reporting
- Identify and assess policy-related risks and recommend solutions to mitigate institutional exposure.
- Assist in preparing policy documentation and responses for audits, inspections, and accreditation reviews.
- Maintain an institutional archive of historical and current policy versions and associated documentation.
Education and Training
- Develop and deliver training and communication materials to promote awareness and understanding of institutional policies.
- Support new employee onboarding with information about institutional policies and the governance framework.
Other Duties
- Provide support for regulatory reporting and institutional responses to compliance inquiries.
- Perform other duties as assigned by the General Counsel, including confidential research and strategic planning related to policy and governance.
