Reporting to the SAAIP Academic Resources Manager, this position provides analytical, administrative, and project management support to the CNAS Divisional Dean of Student Academic Affairs, UAAC and GSAC Assistant Deans, SAAIP ARM. This position involves interacting extensively with senior staff to gather needed data and information, analyzing a wide range of complex issues/requests, resolving or making recommendations for resolution, and following up to ensure problems are resolved appropriately. This position also provides analytical, administrative, and organizational support to the CNAS Executive Committee (EC), including meeting logistics, the preparation of meeting materials, meeting administration, and various correspondence required based on EC decisions. This position supports the SAAIP Academic Resources Manager (ARM) by providing high-level administrative, technical, and analytical support to the departments in financial, contract, grant administration, purchasing, travel, and departmental administrative assistance. In addition, they provide Financial Analysis Support for assigned departments within the unit. Performs payroll-related tasks to ensure accurate position funding reviews the Chart of Accounts, and conducts monthly payroll reports. This support will also include assisting with event planning logistics, calendaring, and meeting arrangements for the CNAS Divisional Dean, Assistant Dean, and Academic Resources Manager. The full salary range for the Academic Affairs and Administrative Analyst is $31.72 - $50.70 per hour. However, the expected pay scale for this position is $31.72 - $37.70 per hour. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs. Applicants must have current work authorization when accepting a UCR staff position. Currently, we are unable to sponsor or take over sponsorship of an employment Visa for staff. Key Responsibilities: Key Responsibilities DescriptionPercent Time Provides analytical, administrative, and organizational support to the CNAS Executive Committee (EC). Prepares and assembles meeting agendas based upon UCOP, Divisional UCR Senate Deadlines, and Committee on Courses deadlines to ensure key feedback, review, and new course and program proposals meet all deadline constraints. Administers Course Request System (CRS) executive committee approvals, conditional approvals, denials, and follow up for all CNAS course proposals and changes to ensure timely submission. Arranges all logistics and access for EC meetings, serves as timekeeper to ensure EC meetings progress in timely fashion to complete all necessary business, and takes minutes of all key discussion, decisions, votes, and necessary follow-up correspondence. Completes all required CNAS Degree Reporting and completes the CNAS Executive Committee Annual Report for the Senate Analyst. Responsible for processing all SAAIP Admin Departments; CNAS Harvest Snapshots for new hires, appointment changes, and other related requests. Ensures position funding is accurate before submitting snapshots by using the position funding tool requests to update the Chart of Accounts (COA). Review the Chart of Accounts for all departments and ensure the correct usage of funds is reflected in the position funding tool and Employee Funding Report. Conducts monthly payroll reports for the Academic Resources Manager to ensure accurate and current COA. Makes corrections using the Position Funding Tool and processes Salary Cost Transfers as needed. Provides analytical, administrative, and project management support to the Divisional Dean of Student Academic Affairs and Student Academic Affairs & Interdepartmental Programs Admin Unit. Interacts extensively with senior staff to gather needed data and information; analyzes a wide range of complex issues/requests; resolves or makes recommendations for resolution; follows up to ensure issues are resolved appropriately. Works with key departmental faculty (chairs/lead faculty advisors) and campus partner constituents as needed. Acts as Executive Assistant to the CNAS Divisional Dean, UAAC & GSAC/EMC Assistant Deans, and Academic Resources Manager, to include independent communication with campus constituents on behalf, managing deadlines, preparing correspondence, coordinating and triaging assignments, controlling information flow, and providing follow-up where necessary. Assists with event planning logistics, calendaring, and meeting arrangements. Retrieves, queries, and analyzes data from various internal/external systems to produce meaningful reports. Respond to Academic Resources Manager requests for financial information, including collecting complex data from multiple sources for various reporting activities and organizing information in a clear, comprehensible format. Develops and prepares accurate, complete, and timely financial reports. Provides monthly financial ad-hoc reports for sub-units of centers. Ensures timely completion of correcting transactions (NCT, FCT, BEA, Payroll Cost Transfers). Consult with the Academic Resources Manager regarding any unusual situations. Responds to Academic Resources Manager requests for financial backup documentation, including collecting data from multiple sources for various reporting activities, and organizes information in a clear, comprehensible format. Supports SAAIP Admin Unit Departments in the area of purchasing, including accounts payable, purchase order receiving, honorariums, and managing backup documentation. Audits entertainment reimbursements for required documentation and accuracy. Travel coordinator for SAAIP units supporting faculty, staff, and student travelers with trip preparation and reimbursement.
