Confidential Executive Associate - Special Projects and Operations Associate POSITION DETAILS "AT BARUCH COLLEGE WE BELIEVE THAT STUDENT SUCCESS IS EVERYONE?S RESPONSIBILITY" Confidential Executive Associate - Special Projects and Operations Associate provides high-level, confidential administrative leadership in the Office of the President, reporting directly to the Chief of Staff. This strategic role is instrumental in advancing institutional priorities by implementing special projects, managing high-profile events, and ensuring efficient financial and administrative operations. This position fosters a professional and dynamic work environment, enhances communication across key stakeholders, and drives the successful execution of presidential initiatives. Key Responsibilities: ? Manage high-impact projects and initiatives, ensuring alignment with institutional goals, stakeholder collaboration, and timely execution. ? Oversee the planning, execution, and logistical management of high-profile presidential events, including agenda development, speaker coordination, materials preparation, and on-site execution. ? Monitor and manage financial transactions related to office operations and events, process invoices, track expenditures, and ensure fiscal compliance with institutional policies. ? Develop and implement best practices to optimize office operations, streamline administrative workflows, and maintain organized, confidential records and databases. ? Serve as liaison for the Office of the President, ensuring clear and effective communication with internal and external stakeholders and fostering a welcoming and professional environment. ? Assist in the enforcement of administrative policies and procedures, ensuring compliance with institutional standards and continuous operational improvement. ? Schedule and coordinate executive meetings, manage logistics, prepare briefing materials, and document key discussions and action items. ? Proactively manage additional administrative initiatives and provide high-level executive support to the Chief of Staff and President?s Office, adapting to evolving priorities and institutional needs. QUALIFICATIONS Bachelor's degree and six years' related experience required. Preferred Qualifications: ? Education: Bachelor?s degree required; Master of Science in Education (MSEd) in Higher Education Administration, Master of Business Administration or Master of Corporate Communications preferred. ? Experience: Proven experience in administrative management, event coordination, or project leadership, preferably in a higher education or executive setting. ? Skills & Expertise: ? Strong organizational and time-management skills, with the ability to oversee multiple complex projects simultaneously. ? Excellent written and verbal communication abilities, capable of drafting professional documents and facilitating high-level interactions. ? Exceptional problem-solving and decision-making capabilities, with a keen attention to detail. ? Ability to work autonomously and collaboratively in a fast-paced, high-stakes environment. ? Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with Qualtrics, Microsoft Forms, and virtual meeting platforms (Zoom, MS Teams) preferred. ? Experience with budget management, financial tracking, and administrative financial processes. This position is excluded from union representation. CUNY TITLE Higher Education Associate FLSA Exempt COMPENSATION AND BENEFITS $93,491 - $104,057; salary commensurate with education and experience.
