This position provides clerical support to the department chair and the faculty of the Department of Earth and Space Sciences. The ideal candidate will demonstrate experience working with diverse college students; excellent communication and collaboration skills to develop and maintain relationships with campus partners; and strong organizational skills and attention to detail. Responsibilities Include: - Serve as first point of contact and information for students, faculty, parents, and visitors
- Screening incoming calls and in-person visitors as well as redirecting individuals to offices for assistance
- Monitor and maintain operating budget, credit card reconciliation, and other financial statements/accounts for the department
- Assist with resolving matriculation issues and navigation through the Banner (RamPortal) website
- Maintain electronic copies of faculty syllabi and other relevant documents
- Maintain and update all faculty information such as office hours, exams, travel expense reports, reimbursement requests, room reservations for classes and meetings, and various other requests (keys, graphics, printing, IT, etc.)
- Assist faculty with facilitating departmental events, conferences, and functions
- Handle travel reservations when necessary
- Work closely with the department chair on office tasks such as scheduling student classes, building faculty schedules, updating advising sheets, and various student success measures (tracking graduation, maintaining student files for majors and minors, collecting student data for assessment purposes, etc.)
- Communicate with students via email, phone, and in-person to update them on events and relevant changes within the department
- Attend workshops and training that are relevant to job related functions
- Maintaining databases as needed for faculty and assisting with facilitating, organizing and overseeing the administrative aspects of departmental functions, programs, and other events
- Maintaining bulletin boards and office literature with up-to-date information for students
- With the department chair, serve as assistant building administrator, working with facilities, submitting work orders as needed and helping with fire drills and other routine maintenance issues.
- Perform other related duties as assigned
- Six months as a Clerical Assistant 1 (Commonwealth title)
OR - Graduation from high school
OR - An equivalent combination of experience and training
- Demonstrated proficiency in the use of Microsoft Office Suite including Outlook, Word, and Excel.
