Provides administrative support to an individual or smaller department. Duties include providing clerical support, maintaining the office's budget, and supporting University goals. Essential Functions The Academic Advising and Support Center (AASC) at Loyola University Maryland is seeking a qualified administrative assistant. The administrative assistant will: *Serve as the primary point of contact for students, administrators, and staff visiting and contacting AASC. *Manages the calendars of six professional advisors and schedules student appointments; reserves rooms for office meetings. *Answer basic questions related to academic policies and procedures; refer individuals to appropriate administrators or offices, as needed. *Oversees the AASC email account and phone line, providing timely and accurate information and following up when necessary. *Provide students with appropriate forms and directions related to majors and minors and course registration. *Manages the sign-in process and coordinates the flow of student traffic within the office. *Performs clerical duties such as copying, scanning, linking, and purchasing office supplies; provides administrative support for individuals within the office and responds to data and project requests, when needed. Proficiency in Microsoft Office products (i.e Word, Excel, PowerPoint, Outlook, etc,). Excellent written and oral communication skills, efficient work habits, strong organizational skills, and strong attention to detail. Strong multi-tasking and follow-up skills with ability to manage and meet multiple deadlines. Ability to prioritize effectively. Ability to prepare and maintain budgets. Ability to maintain confidentiality and use discretion. Demonstrated experience organizing, planning, and coordinating events.
