The Association for Fundraising Professionals (AFP) is looking for a Vice President, Finance and Administration. This permanent, full-time position is located in Arlington, VA. The incumbent is required to come to AFP headquarters located in Arlington, Virginia two days/week – Tuesday and Wednesday.
Position Summary: The Vice President, Finance & Administration is an executive level position responsible for overseeing the financial health and sustainability of the organization. This role provides strategic financial management, ensures compliance with all regulatory requirements and manages reporting and planning of the organization. In addition to financial oversight, the Vice President, Finance and Administration oversees Finance, Human Resources, Information Technology (IT)/Facilities, Business Operations and all administrative functions to ensure operational excellence. As a key executive of the organization, the Vice President, Finance & Administration partners with the management team to analyze, manage, strategize and solidify the organization’s financial resilience. Major Duties & Responsibilities: Finance: - Oversees all fiscal operations including accounts receivable, accounts payable, payroll, billing and collections, purchasing and general accounting, including the maintenance of effective systems of general accounting and billing.
- Develops and implements financial policies and procedures and ensures compliance.
- Assures implementation of internal controls and generally accepted accounting principles.
- Works with various internal and external constituencies, particularly the auditors, investment firms, liability insurance brokers, vendors and others to improve the overall effectiveness of the organization’s financial/business planning and operations. Responsible for monthly and year-end closing processes.
- Prepares monthly financial statements, maintains timely and accurate financial accounting records on the accrual basis of accounting.
- Monitors treasury and banking activities to ensure adequate cash flow and assets.
- Attends the finance committee meeting of the Board of Directors and presents the current fiscal situation. Also, attends the meetings of the Board of Directors at the request of the President/CEO.
- Responsible for annual audit, including preparation of all necessary worksheets and account analyses, and reporting to management, Finance Committee and Board. Participates in development and preparation of final year-end financial statements with external auditor.
- Oversees and directs the preparation and issuance of all regulatory reports (i.e. IRS Form 990, Form 5500, etc.).
- Responsible for preparation and review of annual budget as well as individual program/department budgets; coordinates all departmental budgets; monitors departmental budgetary performance; works with department heads to ensure that expenditures comply with legal and budgetary requirements.
- Interacts with executive leadership team in developing the strategic plan and its financial planning component.
- Serves as staff liaison for the AFP Political Action Committee (PAC), Government Relations Committee, and Investment Subcommittee. Works closely with AFP’s Lobbyist to ensure the organization stays informed on any impacts to the nonprofit sector.
- Supervises the finance and administration team and is responsiblefortherecruitment,supervision,trainingandevaluationoftheFinance/AdministrativeDepartmentstaff,includingbillingandoutreach.
- Negotiates all agency insurance renewals to ensure insurance coverages including D&O, general liability, property and worker’s comp, etc. are in place each year to manage risk and ensure adequate coverage.
- Oversees all vendor relationships and establishes clear criteria for vendor selection, conducting thorough due diligence, negotiating favorable contracts, maintaining open communication, regularly evaluating performance, and leveraging technology to streamline processes.
- Serves as the organization’s strategic financial and administrative thought partner collaborating on financial matters, offering new perspectives, challenging assumptions and supporting in a non-judgemental way.
- Manages, mentors and grows the Finance and Administration team, as required.
Human Resources: - Works closely with President & CEO to ensure best practices in the employee life cycle including performance management, compensation and organizational development.
- Manages effectiveness of HR function and ensures policies and procedures comply with employment laws and regulations.
- Leads initiatives related to talent acquisition, performance management, benefits administration, compensation and employee relations.
Information Technology/Facilities: - Manages and directs IT vendors and consultants in leading and monitoring the development, maintenance, access, privacy and security of accurate, reliable electronic information systems including coordination of computer software and hardware and all telecommunications and network administration.
- Conducts ongoing assessment of risk management and legal activities, including oversight of contracts, leases, and insurance.
Business Operations: - Works with department leads to maintain continuous lines of communications, keeping the CEO informed of all critical issues necessary for organizational leadership.
- Serves on the organization’s leadership team, responsible for operationalizing and assessing the organization’s strategic and innovation opportunities, culture building and more as needed.
- Maintains knowledge of developments and trends in finance and administration including technological advancements.
- Manage and provide oversight of the day-to-day operations and office functions.
- Performs other duties as assigned
