Job DescriptionThe Executive Assistant to the President provides confidential analysis, recommendations and high-level support to the President. This position is responsible for drafting correspondence and written materials for the President, including campus-wide communications. The incumbent in this position handles confidential material, exercises independent discretion when responding to inquiries, manages the creation of the annual master academic and events calendars, and coordinates special projects and campus events. The Executive Assistant exercises a high level of sensitivity and confidentiality in conducting research and possesses exceptional organizational, time-management, and collaboration skills, when carrying out assigned tasks. Provides technical assistance and essential administrative services to the President. Manages the Office of the President, and coordinates its relationship with all other administrative and academic offices within the college and with the external community. In the absence of the President, independently makes decisions, evaluates situations, and directs matters to the appropriate administrator, manager, or staff.The Executive Assistant relieves the President (or other Cabinet leaders if needed) of operational and administrative details, performs comprehensive and complex functions that require a thorough knowledge of college policies, procedures and operations. Has a high degree of working knowledge of the organizational structure and policies and procedures of the Minnesota State system office and the College, to carry out the activities, mission, and vision of the college. Also assists the College President in matters that requires a commitment to enterprise collaboration and leadership in the Minnesota State system.Generate and prioritize communication efforts to ensure relationships are established and maintained on behalf of the PresidentLead, manage, and direct multiple projects from initiation to completion to meet and exceed strategic outcomes/goals.Provide overall confidential office management support to the College President to ensure efficient operation of departments and college as a whole.Provide critical asset management and oversightMinimum QualificationsKnowledge of:Two-year degree in Marketing, Communications, Business, Liberal Arts and Sciences, Computer Information Systems, or related field and three (3) years of office support experience, communication experience, writing experience -or- equivalent combination of experience and education.Computer and Administrative support skills to efficiently organize projects and tasks; takes ownership to achieve positive resultsEnglish sufficient to communicate effectively with internal and external customers and write, prepare, and edit reports, letters and presentations, using correct spelling, punctuation, grammar and sentence constructionSkills in:Excellent written and oral communications skills; with the ability to prioritize, organize, and complete work assignments efficiently and effectively.Possess well-developed interpersonal skills and communication skills to professionally address, with poise and diplomacy, sensitive and confidential issues that might arise on a daily basis due to frequent contact with students, parents, faculty, staff, trustees, alumni, community members and other friends of the College.Computer skills in various software such as Word, Excel, PowerPoint, Outlook, and Adobe Acrobat sufficient enough to create and manipulate letters and data with the ability to navigate the web.Exceptional organizational and calendaring skills, detailed-oriented individual to work in a dynamic workgroup, ability to follow through on tasks until completion, and ability to manage several projects.Ability to:Maintain strict confidentiality in all mattersPerform research and prepare of report and supporting materialsIndependently plan and execute projects from start to finishMulti-task and work under pressure to prioritize multitude of tasks with frequent interruptions and problem-solving skills to be applied to administrative work at an exceptionally proficient levelWork independently as a member of a team with minimal supervision, and to meet deadlines/handle shifting prioritiesFunction as part of a team.
