| Summary: Responsible for the accounting of endowment, permanently and temporarily restricted funds, currently unrestricted gifts, life income funds and pledges. Works closely with School’s Investment Office/advisor and serves as point of contact with individual investment managers and manages investment operations and transactions. Oversees accurate reporting and compliance related to donor directed purposes and works closely with Development and campus partners. Manage Treasury functions including banking, cash management, liquidity, and debt reporting. Work closely with auditors during our fiscal year-end audit. Essential Responsibilities Endowment - Serve as the liaison with investment advisors (Cambridge) and fund managers, including the sharing of statements for funds held at other custodians.
- Accurately record all investment transactions and endowed gift receipts, process capital calls, distributions, and monitor endowment cash balance.
- Manage access to fund managers data and systems. First point of contact with funds and with operations team at investment consultant advisory firm.
- Lead on survey preparation related to the endowment and investments.
- Record all investment activity in Fundriver/Balance and update the general ledger with summary activity.
- Maintain a monthly investment rollforward that balances with Fundriver and the general ledger.
- Serve as administrator of the Fundriver platform and support team with role management, database configuration and auditing, reporting, and training.
- Support team and stakeholders by answering questions related to activity in the endowed funds.
- Establish a process for tracking and reporting spendable income from endowed funds, leveraging technology and developing a process that we can maintain.
- Partner with the stewardship director to ensure a common understanding of the purpose the endowment supports.
- Work collaboratively with the Director of Finance to connect how the spendable income from each endowment is spent in the operating budget.
- Engage with campus partners to ensure they are properly spending the endowed income and using the appropriate spending codes and tracking both income and expenses for reporting purposes. Train managers on spending codes and tracking.
- In Fundriver, run the calculation for spendable income in collaboration with the budget process and the CFO, modeling various scenarios and constraints.
- Monitor and implement spend rules and the sustainability of spending.
- Audit and perform quality assurance on spending from funds.
- Run reports for the year-end audit and balance to the general ledger and investment rollforward.
Temporarily Restricted Funds & Current Unrestricted Gifts (TLF) - Ensure all gifts received are properly and timely recorded, and the Finance office and Alumni & Development office financial systems are reconciled.
- Prepare journal entries for all items.
- Working cooperatively with the Alumni & Development office, understanding the donor stated purpose for gifts and with the campus partner responsible for spending the gift, ensure a common understanding of the spending purpose and then the timely expenditure.
- Provide required training, follow-up and monthly reporting.
- Research historical gifts and work with campus partners to utilize historical gifts and reduce aged balances.
Life Income Funds - Accurately record monthly activity from investments for all applicable funds. Balance activity entries to statements.
- Prepare journal entries for the activity for the year and calculate the amortization of discount and the change in the life expectancy of the donor using calculation software.
Pledges - Reconcile outstanding pledges between Finance office and Alumni & Development.
Fiscal Year End - Manage all aspects of the audit related to endowment, restricted funds, and philanthropy, etc.
- Work with external auditors, answer questions, gather sample information they request.
Compliance - Establish and maintain a structure and process that helps keep all parties informed and in compliance with donor restrictions for endowment and temporarily restricted funds.
- Monitor underwater funds and compliance with UPMIFA and donor restrictions or board designations.
Treasury Management - Manage the process of banking transactions, cash flow management and forecasting, third-party banking and investment relationship management (including leveraging systems and maintaining operational security), debt compliance/reporting, various reconciliations, etc.
- In consultation with CFO and Director of Finance, ensure we are optimizing cash flow and earned interest.
- Lead on reporting of cash balances and assist in maintaining strong relationships with key banking providers.
Process Improvement - Lead efforts to document, strengthen, and improve processes related to endowment operations and administration, including leveraging technology and systems, as well as management of donor restrictions and Treasury Management.
