![]() Staff Assistant, Center for Advancement of Research and Scholarship (CARS) Department Summary: The Center for the Advancement of Research and Scholarship promotes individual, collaborative, and interdisciplinary faculty and librarian scholarship activities for regional or global impact through a robust internal grant program and associated scholarly activities. Led by faculty and librarians, CARS is a signature BSU program that engages faculty and librarians across campus. In addition to the CARS faculty/librarian leaders, advisory board members, research fellows, grant recipients and the administrators in their departments all look to the staff assistant for support and expertise in processes. In addition, the position requires the management of a complex budget. Position Summary: CARS seeks a Staff Assistant who will be an integral part of the CARS team and a significant contributor to CARS smooth annual operations. This position involves both office and budget management to ensure CARS fulfills its mission to fund and celebrate the scholarship of BSU faculty and librarians. The individual selected provides administrative support for all activities conducted by the Center for the Advancement of Research and Scholarship. Key attributes include excellent oral and written communication skills, strong organizational skills, experience managing budgets over $500,000, acute attention to details, proficient use of technology, ability to work with diverse individuals across the university, and an interest in professional growth. Supervision Received: Associate Provost with the CARS Faculty Co-Coordinators. Supervision Exercised: Temporary employees, student employees (This position is eligible for hybrid / remote work in accordance with BSU remote work policy.) This position is an exempt, APA unit position and is subject to the terms of that union agreement. Position Type: APA Professional Essential Duties: Prepare, forecast, and analyze the CARS budget; participate in the budget planning process; develop and recommend budgetary requests; prepare monthly budget reports. Serve as signatory for CARS budget indices. Provide guidance on travel and grants processes; recommend appropriate expenditures; implement and ensure compliance with procurement policies. Work with the Academic Affairs Budget Manager and conduct research to determine, recommend, and implement appropriate expenditures to ensure compliance with fiscal policies. Serve as the database administrator for grant recipients; maintain data using online/cloud-based folders and produce reports that track funds, faculty eligibility, and faculty reporting. Using an equity-minded lens, administer an inclusive grant application process for faculty & librarians; update application materials and processes, including in Qualtrics as needed; analyze budgets and create supporting documents and reports for the CARS Coordinators. Conduct outreach to grant recipients throughout the academic year, ensuring they spend funds and complete reports, as required. Coordinate grant review meetings using data submitted during grant application processes. Administer and proactively update the CARS website in Sharepoint. Coordinate events, including advisory board meetings, yearly spring conference, sponsored events, and other faculty initiatives when requested. Manage office operations with responsibility for, but not limited to, emails, calendars, meeting preparation, meeting minutes, online newsletters, announcements, and supplies and procurement. Manage department and conference room calendar and schedule events. Produce requested reports and projects. Perform related duties and responsibilities as assigned. Required Qualifications: Bachelors degree or demonstrated experience to fulfill position responsibilities. Experience in program and project coordination; strong organization and planning skills; ability to manage multiple projects and tasks simultaneously. Strong oral and written communication skills; ability to write concisely, express thoughts clearly, develop ideas in a logical sequence, and follow written and oral instructions. Experience with and commitment to issues of diversity within the workplace. Experience successfully managing multiple budgets Ability to handle confidential information and maintain the integrity of the information housed in CARS. Knowledge of the principles and practices of office management and experience implementing those. Ability to determine proper format and procedure for assembling information. Ability to develop and maintain accurate records and databases, and creating reports based on them. Ability to adapt to changing priorities and multi-task. Ability to establish rapport and maintain harmonious working relationships with persons from varied ethnic, cultural, and/or economic backgrounds and deal tactfully with others.
