Therefore, we aim for excellence and dignity in our hires. Maryvale Preparatory School is seeking a Director of Human Resources to begin employment December 1, 2025. This position is an exempt, full-time, 12-month position. This position will report directly to the Chief Financial Officer. Professional Competencies The Director of Human Resources is an integral member of the Leadership Team and understands and demonstrates commitment to the mission and vision of Maryvale Preparatory School. The position manages the day-to-day administration of the human resources policies, procedures and programs. Carries out responsibilities in the following functional areas: Human Resource Information Systems, employee relations, benefits, compensation, and employment. Policy and Compliance - Review and maintain personnel policies, procedures, and practices; revise/update employee handbook in coordination with the Assistant Head of School for Business Operations/CFO
- Maintain knowledge of industry trends and employment legislation and ensure school compliance with federal, state, and local legislation pertaining to all personnel, to include posting of current labor law and Worker’s Compensation posters
- Maintain employee records (separate files for personnel, benefits, leave requests, other) and employee electronic data in payroll program
- Provides FMLA and Leave of Absence request forms to employees as needed. Evaluates requests for leave. Tracks FMLA time used. Review and determine eligibility for Short Term Disability and perform payroll calculation adjustments based on paid or unpaid time off.
- Review unemployment forms and complete requests for information.
- Gather incident report and submit Worker’s Compensation claims data as needed.
- Manage and provide annual employee training courses in compliance with state laws and regulations.
Employee Relations - Formulate and recommend Human Resources policies and objectives for the school that will establish a positive employer-employee relationship and promote a high level of employee morale and motivation, and that comply with policies, procedures, programs and laws.
- Develop strong working relationships with administration and staff, providing advice, guidance, and coaching, as needed.
- Assist supervisors with performance reviews and evaluations as well as Performance Improvement Plans and disciplinary actions when needed.
- Work together with Administrative Team on annual reviews and compensation data and increases.
- Disseminate annual employment agreement and salary letters to all full time and part-time employees and seasonal coaches and communicate changes to the Payroll Manager.
Payroll - Serve as a backup to the Payroll Manager.
- Communicate with the Payroll Manager any necessary payroll information and changes to compensation and benefits.
- Work in conjunction with supervisors and with Payroll Manager to ensure proper use and recording of paid time off and accruals.
Benefits Administration - Lead and conduct annual employee benefits enrollment, review online enrollments, collect change forms as needed and review forms for accuracy. Process enrollment forms
- Manage the renewal process of all benefit-related insurance policies.
- Compile data and model employer/employee contributions for health benefits. Benchmark to other schools. Annual re-evaluation of cost-sharing of benefits for premium changes to maintain cost-effectiveness and ACA compliance.
- Consider and investigate new and/or improved benefits for employees, in coordination with the Assistant Head of School for Business Operations/CFO
- Administer benefit plans including 403(b), medical, dental, vision, HSA, life, long term disability, short term disability (in-house), to include reconciliation of benefit accounts to payroll and ensuring accuracy for payment; resolve discrepancies.
- Communicate to the Payroll Manager various semi-monthly, monthly and bi-annual contributions for employees (HSA, 403b, etc.). Serve as a backup to the Payroll Manager for preparing and submitting payroll 403(b) employee contribution reports, funding 403(b) for employee contributions, funding employer 403(b) contributions semi-monthly
- Maintain file of all claims, current and closed.
- Respond to employee questions regarding insurance and other benefits.
- Maintain data/lists required for insurance purposes (e.g., employee census).
- Process all qualifying life event changes.
- Maintain employee information in personnel files.
- Assist with terminations; process all terminations in benefit systems.
- Manage external vendor relationships.
- Respond to employment verification requests.
- Process and administer all leave of absence requests, short- and long-term disability and FMLA paperwork.
- Annual calculation of Medical Loss Ratio Rebate and communicate to the Payroll Manager to process through payroll.
- Taxable Group Term Life calculation and communicate to the Payroll Manager for processing fringe benefit through payroll ACA Compliance and reporting
- Annual completion of Creditable Care Notices
- Manage new and existing employees in Sage Dining Services system. Fund pro-rated amounts for new hires. Fund Sage annually prior to start of new school year and remove employee balances at end of school year.
- Lead Administrator of WellEducated Wellness Committee.
- Coordinate and communicate regarding employee wellness initiatives.
- Prepare reports, as needed, for the Assistant Head of School for Business Operations/CFO.
- Process monthly billing for benefits vendors and submit for payment to Accounts Payable.
- Manage unemployment claims via unemployment website.
Recruitment and Hiring - Collaborate with leadership team to understand organizational goals and strategies related to staffing, recruiting, and retention.
- Prepare and post job openings. Coordinate effort with Director of Communications
- Collect and disseminate candidates to proper hiring committees
- Maintain database of candidates for all positions to include information, connections, and feedback
- Retrieve and review background screenings for potential new hires and coordinate the onboarding process.
- Ensure candidates’ work eligibility; process I-9s, background checks, etc.
- Prepare new employee information packets for candidates (different packets for full time, part time, and coaches). Update documents annually.
- Provide new hire orientation to review and complete necessary paperwork in relation to payroll and benefits.
- Manage the enrollment process for all benefits and manage the related web-based systems.
- Ensure volunteers’ background screenings are complete
