Salary Range $55,000.00 - $85,000.00
Overview The Coordinator of Campus Recreation Operations & Graduate Intramurals provides professional-level support in the management of Payne Whitney Gymnasium (PWG) operations and the administration of the Graduate and Professional (Grad/Pro) Intramural Program. This position is responsible for supervising staff, coordinating facility use, and ensuring high-quality programming that enhances the overall experience of members and guests.
Applications should be submitted Friday, 11/7 for consideration. Principal Responsibilities Staffing & Supervision - Recruit, hire, train, schedule, and supervise 60+ part-time student employees and 10+ casual employees supporting PWG operations and the Grad/Pro Intramural Program.
- Ensure staffing and oversight of PWG workstations, including the Welcome Desk, Israel Fitness Center, Brady Squash Center, and Lead Member Service Attendants.
- Ensure part-time staff coverage and oversight for intramural programming.
- Develop and deliver training, guidance, and ongoing supervision for staff to ensure quality service and program delivery.
Facilities & Operations - Oversee the Israel Fitness Center, including coordinating equipment maintenance contractors and service visits to minimize equipment downtime.
- Submit and track facility work orders; coordinate preventive and corrective maintenance of fitness equipment.
- Oversee ongoing departmental supply orders, including but not limited to apparel and gym wipes.
- Collaborate with the Director of Rentals to support facility rentals, conferences, and events.
- Coordinate facility reservations for Yale Athletics and Recreation venues and secure private facilities when required.
Programs & Events - Administer the Grad/Pro Intramural Program across academic and summer terms, including:
- Communicating and collaborating with team captains on program rules, sport offerings, and expectations.
- Developing policies, eligibility rules, and playing regulations.
- Planning and managing regular season and playoff schedules.
- Supervising evening/weekend competitions and special events as needed.
- Serve as primary liaison to the GSA/GPSS Recreation Committees and the Student Wellness Committee.
Administration & Finance - Compile, analyze, and report program participation data, statistics, and outcomes.
- Manage employee paperwork, payroll, and weekly timecard submissions.
- Monitor and manage budgets for staffing, programming, and equipment; provide recommendations on capital repairs and replacements.
- Administer departmental operational software (Connect2Concepts) and maintain program websites.
- Perform other duties as assigned.
Required Skills and Abilities 1. Knowledge of the campus recreation and customer service industry trends and standard practices.
2. Demonstrated ability to create and adapt animated programming to a diverse community.
3. Must have the ability to work nights and weekends, as needed.
Preferred Education and Experience Graduate degree in related field.
Principal Responsibilities - Direct the Graduate and Professional Schools Intramural and Special Events Intramural Programs throughout the academic and summer terms and assist with the Undergraduate intramural program as requested.
- Develop playing and eligibility rules and policies and procedures for grad intramural sports.
- Hire, direct, train and supervise approximately 60 part-time student staff associated with the grad/pro program including the Payne Whitney Gymnasium Lobby Desk and Fitness Center and student referees and supervisors.
- Plan and organize competitive schedules for over 175 sport teams consisting of over 2700 participants for competitive regular season and championship playoff games; and, 177 Team Captains - 5 Referee Assigners/Scorers - 30-40 Referees.
- Coordinate the reservation and use of Yale athletic facilities including the PWG, Walter Camp Field Complex and Ingalls Rink. Coordinate the use of private facilities if needed.
- Recruit, hire, train schedule and supervise a large staff of students for the positions of clerical assistance, game officials/referees, sport attendants and event supervisors.
- Supervise evening and weekend competitions and special events as needed.
- Supervise evening and weekend Graduate Student staff at lobby desk and Fitness Center
- Purchase, maintain and store a wide array of sports equipment in multiple locations.
- Serve as liaison to GSA/GPSS Recreation Committees/Student Wellness Committee.
- Collaborate with Grad/Pro captains on the rules, regulations and sport offerings.
- Supervise the gathering of statistical information related to league standings and participation.
- Create and maintain web pages for grad/pro intramural program.
- Compose all written materials.
- Develop and promote special events to increase awareness and participation.
Required Education and Experience Bachelor's Degree in Sports Management, Recreation Administration or related field and 3 years of experience in intercollegiate or commercial recreation programs or equivalent combination of education and experience.
