Discover your opportunities at Yale! Hourly Range 31.05Overview Primary Responsibilities 1. Manage admissions operations including the processing calendar, the review process, and enrollment. Have primary responsibility to maintain applicant records in admissions system and ensure timely review of applicant materials.2. Partner with the Associate Dean for Curriculum and Admissions, and the Faculty Admissions Chair, as well as other offices including Student Affairs and Financial Aid to coordinate end-to-end admissions timeline and experience and create and manage tools to track applicant status and funding.3. Lead a team of student employees who support admissions events and the admissions committee.4. Counsel applicants on programs and application requirements and provide high-quality and timely support to prospective students with questions or concerns about application process, degree requirements, and other issues.5. Track missing materials, and verify test scores, official transcripts, and fulfillment of pre-requisites.6. Oversee the technical and operational infrastructure of the admissions process, ensuring seamless functionality of Slate CRM to support recruitment, application processing, and enrollment goals. Train and support faculty, student, and staff members of the admissions team on Slate functionality.7. Serve as the primary steward of YSOA’s Slate’s instance, ensuring accuracy through regular data clean-up, consolidation of duplicate records, and oversight of annual cycle prep to update application portals, purge outdated resources, and promote compliance with institutional privacy policies.8. Compile statistical data and information, track recruitment progress, yield rates, and enrollment metrics.9. Coordinate transmission of data from the Slate CRM to Axiom to Banner, Yale’s student record management system.10. Organize admissions and start-of-school events including in-person and virtual recruiting open houses, accepted student events, orientation and other related events. Other duties as may be assigned.Required Skills and Abilities 1. Must be reliable, highly organized, and a self-motivated, self-starter with the ability to work independently as well as part of a team. 2. Strong interpersonal skills with the ability to work with a diverse constituency of student, faculty, alumni, and staff populations. 3. Excellent analytical, planning, and project management skills. Must be results-oriented with exceptional time management skills. 4. Outstanding written and verbal communication skills and attention to details a must. Well-developed computer skills and ability to adapt quickly to online admissions software programs. Knowledge of Microsoft applications (Word, Excel, basic PowerPoint). 5. Slate proficiency in system configurations, data management, reporting, communications, and automation. 6. Must demonstrate exceptional discretion and maintain confidentiality of applicants, decisions, and other sensitive data. Ensure data integrity and compliance with FERPA and relevant federal regulations.
Weekend/Evening/Recess Hours Required Weekend, evening, and recess work will be required during key admissions periods. Principal Responsibilities 1. Oversees and coordinates administrative, program, and office activities. Establishes, selects, implements, and coordinates office procedures and systems. Serves as principal source of information to students, staff, and faculty on policies, procedures, programs, and office activities. 2. Oversees, instructs, and coordinates activities of support staff. Oversees the preparation of materials for grants, contracts and budgets. Monitors expenditures and reconciles financial statements. 3. Provides editorial support for a journal/publication. Proofreads and edits material for grammatical and factual accuracy. Tracks copy through various editing and production stages. Communicates with authors, printers, and others concerned with published work. 4. Determines administrative, facility, and equipment needs for symposia, lectures, seminars, and conferences. Assembles and arranges for necessary items. Determines sources of data. Compiles, synthesizes and manipulates data. Summarizes findings and writes reports or portions of reports. 5. Greets visitors. Answers and screens telephone calls. Assesses nature of business. Responds to requests for information and provides assistance. Screens and responds to mail. 6. Formats, keyboard, proofread, and edits correspondence, reports, manuscripts, grants, and other material. Assembles attachments and corresponding material. Reviews outgoing material for completeness, dates, and signatures. Composes substantive correspondence and written material. 7. Coordinates travel arrangements. Schedules and coordinates meetings and appointments. Orders and maintains inventory of supplies. Takes minutes or dictation. Performs additional functions incidental to office activities.Required Education and Experience Six years of related work experience, four of them in the same job family at the next lower level, and high school level education; or four years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.
