| Reports To: Controller - Lease Administration and Recoveries Our client is a premier real estate private equity firm with over $2 billion in assets under management who specializes in the acquisition and management of high-value commercial real estate assets. They are seeking a proactive and detail-oriented Lease Administrator to ensure the integrity of their lease data and the efficiency of the documentation lifecycle. POSITION SUMMARY: The Lease Administrator serves as a critical link between the leasing and accounting departments. This role is responsible for the precise review, abstraction, and system integration of commercial lease packages. The ideal candidate possesses high financial accuracy, technical proficiency in Yardi, and a meticulous approach to lease compliance and documentation. RESPONSIBILITIES: 1. Lease Execution & Abstraction - Documentation Review: Perform comprehensive reviews of lease packages to ensure all documents are properly executed, dated, and legally sound.
- Collaboration: Proactively correspond with internal team members to rectify missing or improperly executed documentation to ensure a 100% complete record.
- Lease Abstraction: Analyze complex lease documents to determine and summarize critical data points, including minimum rent, escalations, options, security deposits, guarantees, and other key clauses.
- Record Management: Maintain a rigorous filing system for all lease packages, ensuring proper organization in both electronic and hard-copy formats.
2. Data Integration & Systems Management - System Administration: Input tenant leases, contact details, and billing information into the Yardi accounting system.
- Data Maintenance: Enter new tenant data and process changes resulting from lease amendments, modifications, and renewal agreements.
- Activity Tracking: Maintain and update the internal leasing activity tracker to provide the team with real-time portfolio data.
- Audit Readiness: Regularly revise and maintain tenant contact and billing information to ensure seamless financial operations.
3. Compliance & Accounting Support - Lifecycle Monitoring: Monitor critical dates, including lease and rent commencement, expirations, occupancy, and vacancies.
- Financial Oversight: Track changes to rents, security deposits, penalty dates, and lease-specific financial triggers.
- Interdepartmental Support: Assist the accounting team with reconciliations, percentage rent calculations, and sales history reporting.
- Confidentiality: Maintain the highest standards of confidentiality regarding sensitive lease and financial information.
- Efficiency: Continuously strive to identify and implement process improvements within the lease administration workflow.
QUALIFICATIONS & EXPERIENCE: - Experience: Minimum 3-5 years of experience in retail commercial lease administration, real estate accounting, or a related field highly preferred.
- Lease Expertise: Strong expertise in retail commercial lease administration, including lease structures and terminology, critical date management, rent and recovery provisions, and preferred experience with percentage rent, co-tenancy, exclusive use clauses, and CAM structures.
- Legal / Paralegal Experience (Preferred): Background in paralegal work or legal document review, with demonstrated ability to interpret complex lease agreements and amendments.
- Technical Mastery: Proficiency in Yardi or similar real estate accounting/lease administration systems highly preferred. Advanced comfort with Microsoft Excel is required.
- Attention to Detail: Exceptional analytical skills with a proven ability to identify discrepancies and errors in complex legal and financial documents.
- Communication: Strong interpersonal skills for cross-departmental collaboration with leasing and accounting teams.
