Relocation Provided?: No Position Summary: Position Summary: This position provides confidential and advanced administrative support to the Associate Vice President / Dean of Technology, Trades, Business, and Hospitality (TTBH). The Administrative Assistant is responsible for controlling and managing the workflow for the AVP/Dean and School of TTBH. This position must maintain a high professional demeanor and strong organizational and communication skills. The Administrative Assistant will prepare reports, special projects, and presentations, schedule and organize meetings, and assist in all areas reporting to The School of TTHB. This position serves as the face of the team and will need to work effectively with various constituencies in a diverse community, providing customer service to FCC employees, students, and the general public. Essential Duties and Responsibilities: These duties are intended only as examples of the various types of job duties to be performed. The following are the functions essential to performing this job: 1. Serve as the point of contact for School of TTHB and the AVP/Dean; receive and screen internal and external visitors, telephone calls, and emails while maintaining utmost discretion and confidentiality. Assist employees with employment paperwork, ensuring completeness and accuracy. 2. Serve as a welcoming, effective, and efficient communicator when greeting callers and visitors to ensure excellent customer service to internal and external constituents via phone, email, and face-to-face communication. 3. Support the academic processes and procedures for the School of TTBH. 4. Serves and the liaison to the office of the Provost/Vice President for Teaching, Learning, and Student Success. 5. Coordinate and manage the calendar for the AVP/Dean of TTBH, including scheduled meetings, events, conferences, and one-on-ones with direct reports and other activities with particular attention to preparation, logistics, and briefings. 6. Attend meetings, draft presentations, record and disseminate minutes, and prepare correspondence and other materials supporting initiatives. 7. Order office supplies, employee name badges, and other materials, supplies, and services as requested 8. Develop and maintain departmental documents, systems, and electronic tracking methods to support and ensure the efficiency of the School of TTBH. Maintain appropriate information, document storage, and retrieval. 9. Develop and maintain systems to support the AVP/Dean of TTBH office and automation of processes using electric forms and software packages. Monitor budgets, including tracking and maintaining expenditures, reconciling accounts, providing reports, preparing purchase orders, vouchers, and budget transfers. 11. Make travel arrangements (flights, hotel, conference registrations), and prepare travel itineraries and expense reports. 12. Monitor correspondence from community members, both internal and external, regarding questions and clarifications. 13. Assist with logistics for special events and projects for the School of TTBH, the College, and employee-facing events. 14. Perform other duties as assigned.
