Overview Directly reporting to the Senior Associate Athletic Director for Facilities & Operations, this position is responsible for the management, maintenance and coordination of all spaces within Payne Whitney Gymnasium from a facilities standpoint. Primary responsibilities include; scheduling varsity spaces, daily upkeep and coordination with Yale Facilities (submitting and following up on work orders, etc.), facility changeovers for practices/games, primary point of contact for coaches and other constituents for practice spaces at PWG, coordination with recreation and other user groups, providing support for facility rentals/camps/clinics (as needed), providing coverage for varsity athletic events and special events, supervision of student and casual staff, primary and secondary point of contact for select Athletic Facilities. Oversees the scheduling and final approval of all varsity athletic facilities within Payne Whitney Gymnasium (including Lanman Center, John J. Lee Amphitheater, Brady Squash Center, Kiphuth Pools, Crew Tanks, Fencing Studio, and Gymnastics) for practices, competitions, special events, meetings, and maintenance. Ensures schedules are accurate and regularly updated to reflect all changes. Serves as the primary liaison between the Athletics Facilities Office, Recreation, and Yale Central Facilities for all facility-related matters within Payne Whitney Gymnasium. Provides comprehensive facilities support to all user groups, including recreation programs, coaches, and staff. Conducts daily facility inspections to ensure safety, cleanliness, and operational readiness; identifies and addresses issues as needed. Manages facility repairs from identification through resolution, including submission and tracking of work orders and communication of updates to relevant stakeholders. Oversees annual safety inspections, general maintenance and upkeep of gameday equipment (i.e. bleacher and hoop inspections, court resurfacing, seasonal installations, etc.). Collaborates with the Director of Rentals, Facilities & Operations and Assistant Director of Facilities & Operations to support internal and external events, including rentals, camps, and clinics. Recruits, hires, trains, schedules, and supervises student staff responsible for facility setups, transitions, and changeovers. Provides gameday operational support for select varsity events and coordinates facility needs across venues including John J. Lee Amphitheater, Kiphuth Exhibition Pool, Brady Squash Center, and the Fencing Studio. Maintains regular communication with coaches and staff regarding schedules, facility needs, and operational logistics. Partners with the Athletics Business Office to manage facility-related purchasing processes; including obtaining competitive bids, processing purchase orders, and reconciling invoices and P-card transactions. Assists in the planning and execution of mid-level and large-scale facility projects within Payne Whitney Gymnasium. Performs additional duties as assigned in support of facilities and operations. Required Skills and Abilities:
1. Strong written and oral communications skills. Strong organization and attention to detail.
2. Ability to communicate with coaches, administrators, internal/external groups, vendors and Yale Facilities.3. Ability to analyze, evaluate and develop recommendations for efficiencies in operations.4. Proficient in computer operation and Microsoft Office suite.5. Ability to learn 25 Live (scheduling software), Arbiter (officials payments) and other job specific programs. Ability to multi-task, work under pressure and meet deadlines.
Preferred Education and Experience:Master’s degree preferred. Four years of full-time experience. Principal Responsibilities 1. Plans and manages the scheduling, logistics, and operations of all events and programs for the facilities. 2. Responsible for the management of special event and facility rentals. 3. Serves as the Facilities Event Manager for all large rental events and assigned intercollegiate events. 4. Estimates budget requirements for assigned areas. 5. Plans and schedules all maintenance and repair work for assigned facilities. 6. Coordinates the use of assigned athletic facilities for summer camps. 7. Develops and implements facility policies regarding safety, security, liability, maintenance, ADA, budget, and personnel.
