| Position Summary: This position serves as an educational and program champion for the AOA’s Council of Orthopaedic Residency Directors (CORD) program. The Associate Education and Program Manager is required to be a team player and hands-on implementer. The AOA seeks an individual who thrives in a fast-paced, high volume work environment and is a professional who works collaboratively with a diverse group of team members to create and manage cross-organizational, integrated strategies for project completion. The successful individual will have excellent written and oral communication skills, critical thinking abilities, precise attention to detail, and enthusiasm for customer service as it fulfills the mission of the AOA/CORD and supports excellence in orthopaedic surgery graduate medical education. Relevant experiences, especially in an association environment, may include: knowledge of adult learning theory; instructional design principles and practices; broad knowledge of course development and delivery tools and formats (eg, instructor-led, e-learning, blended learning, social media, mobile); and demonstrated ability to manage projects and absorb information quickly and translate to a variety of audiences. Duties and Responsibilities Provides leadership to ensure the efficient operation of the CORD/Academic Education Subcommittee, workgroups, projects, and initiatives to fulfill academic objectives for the organization. - Provides proactive support, recommendations, and research to advance the actions and decision making of the committee and related programs.
- Assists Education Director with development of proposals for subcommittee’s evaluation and discussion.
- Works with subcommittee members, staff, and AOA leadership to develop educational programming.
- Develops an editorial calendar for the monthly CORD Report (e-newsletter). Works with the physician managing director and volunteers to curate content.
- Researches, solicits, writes, and edits content appropriate for academic articles/newsletters, website content, and programming summaries.
- Assist Education Director in developing and fostering collaborative relationships with staff from American Board of Orthopaedic Surgery (ABOS), American Osteopathic Academy of Orthopedics (AOAO), Accreditation Council for Graduate Medical Education (ACGME), and Association of Residency Coordinators in Orthopaedic Surgery (ARCOS). Alongside Education Director, liaise with AOA surgeon representatives to Orthopaedic Program Directors Association (OPDA), American Association of Medical Colleges (AAMC), and National Resident Matching Program (NRMP) to incorporate initiatives into CORD/Academics educational programming.
- Program Development & Management
- Assists Education Director to identify product needs and develop proposals in support of program/product development. Working closely with the CORD/Academics Education Subcommittee Chair and CORD Conference Program Chair(s), stays abreast of educational needs and underlying gaps. Assures that the needs of members and constituents are considered within the broader graduate medical education landscape and AOA priorities/strategic objectives.
- Oversees the development and execution of in-person conferences, webinars, and other educational activities. Helps identify content leaders and works with volunteers to deliver programs and products to position AOA/CORD as the market leader in academic education.
- Initiates changes in existing products/programs to ensure that both participant needs and organizational revenue goals are met or exceeded while ensuring experiences are of high quality.
- Develop, analyze, and communicate metrics and analytics that measure ROI, impact, and effectiveness of academic initiatives.
- Manages the CORD membership database and initiates reporting/data analysis to grow the membership. Management of the database includes the ability to initiate new ways to fulfill/expand membership benefits, consider ways the CORD membership relates to other AOA programs/membership, and develop supportive reporting.
- Oversees the CORD and Education email inboxes and provide timely responses to maintain open lines of communication for maximum customer service.
- Manages agenda development, speaker selection/contracts, prepares meeting materials, and provides overall project management through event completion.
- Oversees abstract submission process for all AOA programming. Is responsible for adhering to ACCME guidelines and submitting documentation required by CME provider.
- Works on special academic projects/initiatives such as the eSLOR (electronic Standardized Letter of Recommendation) or ORIN (Orthopaedic Residency Information Network).
- Manages the evaluation survey submission process.
- Responsible for Cross Departmental Integration of Program Components
- Collaborates with Meetings, Marketing, Development, and Membership teams in support of programs/products.
- Works with Meetings team to organize logistics for academic programming.
- Collaborates with Membership staff to oversee annual CORD dues renewal process and tracks membership retention/recruitment. Proactively contacts sites for support and to drive revenue through membership related activities.
- Responsible for providing headquarters staff with needed information to appropriately answer inquiries.
- Collaborates with development staff to provide descriptions, content and other needed background and reporting in order to obtain external funding for academic activities. Identify support opportunities and participate in meetings with representatives as appropriate.
- Participates in education/leadership team activities and supports needs of these activities, as requested.
- Financial Accountability & Administrative Management
- Responsible for file management, budget development and fiscal management of areas of defined responsibility, especially as the budget relates to educational activities, within approved budgets.
- Establish and maintain updated policies and procedures related to duties.
- Understands, communicates, and advances overall AOA strategic objectives.
- Performs special assignments as determined by the Education Director.
- Implements plans to ensure reaching established objectives that promote growth and participation.
- Develops budgets, monitors income/expenditures, and overall fiscal management of areas of defined responsibility.
