 Shady Hill School is seeking a Front Desk Coordinator to join our team beginning in late July 2026. The Front Desk is the first and primary point of contact for students, parents, and campus visitors, and plays a vital role creating a welcoming, calm and positive front office experience for everyone. The Front Desk Coordinator is the point person for SchoolPass, the school&#8217;s attendance and emergency alert system, and manages all student absence notifications, late arrivals, early dismissals, and dismissal changes, contacting families to resolve any questions. The ideal candidate will demonstrate strong communication skills, a high level of professionalism and confidentiality, and the ability to multitask in a dynamic school environment. The hours are 7:45am - 4:15pm, Monday - Friday from August through June. This is a full-time, benefits-eligible, hourly position, with paid school holidays during the school year.&#xa0; &#xa0; 
 Primary Responsibilities: 
 
 Serve as a welcoming presence to students, families, and visitors; check-in all families and visitors upon arrival 
 Answer phone calls and emails to Shady Hill School 
 Record and communicate daily student absences, arrivals and departures, and dismissal location changes in SchoolPass; work with employees and families to resolve any questions about student attendance 
 Manage annual family, student, and employee setup and registration in SchoolPass for the upcoming school year 
 Create rosters in SchoolPass for each sports team each season (fall, winter, spring)&#xa0; 
 Manage Shady Hill mail: receive and sort incoming mail, prepare outgoing mail to be sent, maintain postage meter supplies, and liaise with the Post Office as needed 
 Maintain the Front Desk area including updating monthly calendars, seasonal decorations, employee supply closet, and employee phone listing 
 Serve as a member of the Shady Hill Safety Committee (typically meets monthly) 
 During fire drills, work with the Director of Campus Security to initiate drills in SchoolPass and ensure employees and visitors are accounted for 
 Participate in all mandatory health and safety trainings, including CPR, First Aid, and emergency preparedness 
 
 Qualifications:&#xa0;&#xa0; 
 
 5 - 7 years prior administrative or coordinator experience preferred, preferably in a school or non-profit setting 
 Experience with Google suite preferred 
 Strong organizational and problem solving skills, calm under pressure 
 Ability to multitask, prioritize and work independently in a busy, dynamic office 
 Excellent cultural competency and interpersonal skills, and the ability to develop positive, professional relationships with all constituencies&#xa0; 
 Proven experience as a team player 
 Committed to maintaining a high level of confidentiality 
 Prior experience with administrative databases preferred 
 
 The hourly range for this position is $28 - $36.&#xa0;

 Prepare schedules for the annual audit 
 Reconcile vendor statements and AP Aging reports 
 Resolve discrepancies with vendors and address payment inquiries 
 Process form 1099&#8217;s 
 Enter direct debit and ACH payments into the accounting system 
 Process expense reports 
 Maintain listing of certificates of insurance 
 Manage W-9, ST-2 and ST-5 forms 
 Manage petty cash 
 Other duties as assigned by the Controller or CFOO 
 
 Qualifications: 
 
 3-5 years previous experience in AP processing required 
 Strong organizational and communication skills and attention to detail 
 Ability to manage multiple tasks and projects under the pressure of deadlines essential 
 Experience with Blackbaud Financial Edge NXT (Accounts Payable module) is preferred 
 Experience with AAtrix 1099 software is helpful&#xa0; 
 Highest regard for confidentiality and high ethical standards required 
 
 Start date : August 3, 2026 
 The salary range for this position is $33 - $40 / hour ($70,000 - $85,000 annually), depending on experience.&#xa0;

 Specific Responsibilities: 
 Lower School Operations 
 
 Provide administrative support to the Lower School Head including managing their calendar, scheduling meetings, and prioritizing daily tasks&#xa0; 
 Order requested supplies for the division, liaising with Accounts Payable regarding expense reimbursement requests and employee credit cards, in addition to supporting vendor and field trip expenses&#xa0; 
 Provide support for grade or division level special events (parent coffees, curriculum nights, school wide assemblies, PD days etc.)&#xa0; 
 Collaborate with internal departments to support academic operations and events as needed 
 Manage recruitment including candidate visits for Lower School openings 
 Collaborate closely with the Middle School Operations Coordinator and Registrar during peak season such as hiring, reports and events&#xa0; 
 
 Registrar 
 
 With Middle School Operations Coordinator and Registrar, manage student, family and employee data and permissions in Blackbaud, the School&#8217;s student information system (SIS) 
 Manage mid-year and year-end comments and grades collection from teachers 
 Create classes, report cards, and manage gradebooks in Blackbaud and facilitate other systems operations (portal release dates, schedules, etc.) 
 Maintain academic files and respond to records requests&#xa0; 
 Facilitate applying out process for Lower School students&#xa0;&#xa0; 
 Collaborate with Middle School Operations Coordinator and Registrar to respond to data requests from towns, the state, and other required surveys (INDEX) 
 Create and manage reports in Blackbaud to support academic operations (such as absentee reports) and for other departments as needed (such as school directory pulls for Marketing and Communications) 
 Collaborate with Admission to ensure student enrollments are transferred each summer 
 Partner with families, Admissions and IT to make sure families are onboarded to Shady Hill academic operational systems; serve as primary point of contact for families with questions about Blackbaud 
 
 Qualifications: 
 
 Bachelor&#39;s degree preferred 
 Previous experience working in a school setting required 
 Previous administrative assistant experience required 
 Experience with SIS database management, such as Blackbaud, preferred&#xa0; 
 Effective, timely, and professional communication skills 
 Ability to manage multiple competing priorities, balancing both long term projects and unexpected tasks 
 High attention to detail 
 Flexible, positive attitude, proactive, and sense of humor 
 
 The range for this position is $80,000 - $95,000, depending on experience.&#xa0;
