 Human Resources Leadership 
 
 Support and strengthen core HR functions , including compensation modeling, benefits administration, and the development and interpretation of employment policies. Ensure that compensation structures are equitable, competitive, and aligned with the school&#8217;s financial strategy and market conditions, while maintaining compliance with all applicable laws and regulations. 
 Provide strategic oversight of HR operations , including talent acquisition, workforce planning, and hiring processes. Partner with school leaders to design recruitment strategies that attract, hire, and retain high?quality faculty and staff who embody the school&#8217;s mission and values. Ensure that hiring practices are consistent, legally compliant, and grounded in best practices for independent schools. 
 Lead the development, implementation, and ongoing maintenance of the school&#8217;s salary scale , ensuring it reflects internal equity, market competitiveness, and long?term financial sustainability. Oversee the preparation and issuance of all faculty and staff employment contracts, ensuring accuracy, clarity, and alignment with school policies and compensation frameworks. 
 Oversee employee relations with a focus on fostering a fair, supportive, and inclusive workplace culture.  Provide guidance to supervisors and staff on conflict resolution, performance concerns, and workplace expectations. Lead or support internal investigations as needed, ensuring that processes are handled with discretion, consistency, and adherence to legal and ethical standards. Promote practices that strengthen communication, accountability, and employee well?being across the school. 
 
 Systems, Controls &#38; Process Improvement 
 
 Maintain and continuously strengthen the school&#8217;s internal control environment , ensuring that financial practices, approval workflows, and documentation standards meet or exceed best?practice expectations. Promote audit readiness throughout the year by establishing disciplined processes, monitoring compliance, and fostering a culture of accuracy, accountability, and transparency across all financial operations. 
 Lead enterprise?wide initiatives to enhance financial data security , implementing rigorous protections, protocols, and monitoring systems to safeguard all sensitive information managed by the Business Office and external vendors. Partner with IT, legal advisors, and third?party providers to ensure that data governance, privacy standards, and cybersecurity measures remain current, robust, and aligned with evolving regulatory requirements. 
 Evaluate, modernize, and optimize financial systems, technology platforms, and operational workflows  to improve efficiency, accuracy, and data integrity. Identify opportunities to streamline processes, reduce manual work, and strengthen reporting capabilities. Lead system upgrades, vendor evaluations, and implementation projects that enhance the school&#8217;s financial infrastructure and support long?term scalability.

 Maintain physical inventory counts annually and periodically as requested by the Business Office. 
 Prepare all necessary reporting and reconciliations for the Business Office. 
 Supervise the Spirit Store Associate and assist in the Spirit Store, as necessary. 
 Act as liaison between faculty and online book vendors to ensure accurate and timely setup of the textbook sales. 
 Act as liaison between faculty and uniform supplier to ensure correct uniform inventory is available for student purchase. purchase for students. 
 Work during special events held outside of normal operational hours, as needed. 
 
 Requirements/Qualifications: 
 
 Minimum of an Associate&#8217;s Degree required; Bachelor&#8217;s Degree preferred. 
 Four years&#8217; relevant work experience which demonstrates the ability to work 
 successfully in a Spirit/Bookstore Store environment; retail management experience a plus. 
 Effective organizational, time-management and problem-solving skills. 
 Strong customer service and communication skills. 
 Demonstrated analytical skills and financial acumen.

 Role Overview:  Payroll and Benefits Manager is a critical member of the Human Resources team, responsible for the end-to-end execution of payroll, employee benefits administration, and strategic system management for our 500 faculty and staff. Reporting to the Director of Human Resources with collaborative ties to the CFO and Controller, this role requires a systems-thinking approach to ensure data integrity across HR, Benefits, and Finance. 
 This is a highly operational leadership role. Operating within a small department of three, this position manages and supervises its designated areas while independently providing the day-to-day, hands-on work required to execute them. A critical focus for the incoming manager will be documenting legacy processes, establishing &quot;best practice&quot; standard operating procedures (SOPs), and maximizing our HRIS and school software capabilities to automate manual tasks. 
 Key Responsibilities: 
 Payroll &#38; Accounting Administration 
 
 Execute bi-weekly and monthly full-cycle payroll for all faculty, staff, substitutes, and extra-curricular employees, ensuring proper calculation of wages, stipends, overtime, leave accruals, and holiday pay. 
 Reconcile payroll, taxes, and benefits, and ensure accurate interface of posts to the General Ledger. 
 Manage statutory requirements, including quarterly 941 reconciliations, unemployment billings, payroll taxes, garnishments, W-2 reviews, and ACA reporting. 
 Act as the primary power user for the school&#39;s HRIS and operational systems (Paycor), configuring workflows, maintaining employee data confidentiality, and troubleshooting system issues. 
 Serve as the final gatekeeper for payroll integrity by verifying authorizations, agreements, and onboarding documentation before placing new personnel on payroll. 
 Coordinate with banking institutions for stop payments on physical checks and direct deposit reversals as necessary. 
 Provide monthly reporting to other departments for payroll related items such as but not limited to annual fund, tuition deductions, garnishments and other reporting as needed. 
 
 Benefits &#38; Leave Administration 
 
 Administer and support comprehensive employee benefits programs, including medical, dental, life, long-term/short-term disability, FSA, and other voluntary benefits programs. 
 Administrator of the school&#39;s 403(b) retirement plan. 
 Serve as the liaison between employees, benefits brokers, and insurance carriers, leading annual open enrollment and employee education. 
 Perform meticulous, deep dive reconciliation of all monthly insurance carrier invoices and retirement contributions to ensure they align with payroll deductions.

 Compliance, Risk Management &#38; Audits 
 
 Manage all aspects of the workers&#39; compensation program, including the immediate reporting and management of injuries and processing claims. 
 Lead the preparation for and serve as the primary point of contact for annual audits, including the 403(b) audit, the Workers&#39; Compensation audit, 5500, and Form 990. 
 Maintain I-9 documentation, ensure compliance with federal, state, and local employment laws, and maintain internal controls. 
 
 HR &#38; Expatriate Community Support 
 
 Assume responsibility for the preparation of Form 1042-S for our international staff. 
 Provide dedicated guidance during onboarding to assist expatriate and visa holding employees with tax treaty exemptions, ensuring accurate setup and compliance within the Paycor payroll system. 
 Provide guidance to all employees on payroll and benefits processes with professionalism and a service-oriented approach. 
 
 Required Qualifications &#38; Skills: 
 
 Bachelor&#8217;s degree in Human Resources, Accounting, Finance, Business Administration, or a related field. 
 5+ years of payroll and benefits administration experience, preferably in a school or nonprofit environment.

 Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) strongly preferred.

 ROLE AND RESPONSIBILITIES: 
 Student Accounts/Accounts Receivable 
 
 Manage end-to-end student account activity, carefully and accurately recording and reconciling all student account transactions. This responsibility includes maintaining the integrity of the school&#8217;s external provider&#8217;s database, Blackbaud Tuition Management (BBTM), and reconciling activity from BBTM to the general ledger. Activity in BBTM includes billings for tuition, incidentals, other school services and fees, as well as cash receipts (in-school and BBTM payments) and application of financial aid awards. Work with Blackbaud directly to resolve issues. 
 Provide primary account receivable collection outreach and resolution for student accounts with assistance from Director of Financial Operations/Controller when deemed appropriate. 
 Collaborate with the Admission&#8217;s and Registrar&#8217;s offices during enrollment season to ensure that enrollment agreements are prepared, sent and processed accurately and timely. Act as primary liaison with parents/families during the enrollment process with assistance from the Registrar and Director of Financial Operations/Controller when deemed appropriate. 
 Maintain enrollment activity in Excel to assist finance team with cash flow projections. 
 Provide strong customer support to families and vendors regarding inquiries, tuition payment plans, student debit accounts, and ancillary school services. 
 Manage student debit accounts and act as primary liaison with Odin, the school&#8217;s point-of-sale software provider. 
 
 Gifts/Auxiliary Revenue/Other Income 
 
 Record all revenue, including incoming gifts and auxiliary receipts, accurately classifying revenue (e.g. restrictions, deferrals) and maintaining organized records in accordance with institutional policies. 
 Ensure compliance with applicable accounting guidance (e.g., contribution vs. exchange transaction treatment). 
 Prepare and post daily deposits (checks, ACH, wires, and online payments) ensuring proper documentation and compliance with internal controls. Reconcile activity to bank records and internal systems, and investigate and resolve discrepancies. 
 Maintain supporting schedules for gift revenue and auxiliary income to ensure accurate financial reporting. 
 Reconcile gift and auxiliary revenue accounts monthly in collaboration with Advancement and other departments; prepare additional journal entries and adjustments as needed. 
 Record and track donor pledges, including initial recognition, payments received, and outstanding balances; reconcile pledge activity to supporting documentation.
