Reporting to the Associate Director, Transport, Receiving and Storage (TR&S), this position is part of a management team responsible for all services provided by Yale’s TR&S operations. The Manager is responsible for overseeing one or more key functional areas within TR&S/Campus Mail and providing supervision to staff in their respective area(s), providing the university community with expertise and operational support in various TR&S programs, and coordinating and enforcing operational and personnel policies and procedures. The primary responsibility for this position is to oversee the daily operations of Yale’s West Campus warehouse to ensure efficient receiving, storage, inventory control, and distribution of goods. This role is responsible for managing staff, optimizing workflows, maintaining accurate inventory records, and ensuring compliance with safety regulations and company policies. The Manager coordinates closely with suppliers, transportation teams, and internal stakeholders to meet service levels and delivery timelines while controlling costs. Strong leadership, problem-solving, and organizational skills are essential, along with the ability to implement process improvements and leverage technology to enhance operational performance. The Manager is responsible for complying with federal, state, and local warehousing, material handling, and shipping requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions. This position works directly with internal department leaders and decision makers; safeguards warehouse operations and contents by establishing monitoring security procedures and protocols; maintains physical condition of warehouse by planning and implementing new design layouts, inspecting equipment, issuing work orders for repair and requisitions for replacement. In addition to the primary responsibility, the Manager will play a key role in overall departmental operations, providing backup managerial assistance in all areas of TR&S in coordination with other TR&S managers. Responsibilities Coordinates operations with university departments across West Campus, Central & Medical campuses. Manages requests for priority work, special exceptions requests, and extra services. Ensure timely delivery of time-sensitive materials and products. Process and oversees the department budget. Monitors and maintains costs within Departmental budget. Manages priorities and policies relating to various TR&S responsibilities, goods and assets, as well as the programs impacting students, faculty, and staff. Works with outside vendors that assist in our operational needs. Investigate and resolve customer complaints related to services provided. Provides day-to-day supervision and leadership to department employees and activities of the TR&S operations. Monitor workflow and establish work and staff priorities. Resolve personnel-related matters in compliance with the Local 34 and 35 bargaining agreements. Reviews invoices and processes internal billing via JSA, and research billing or collection problems. Provides superior customer service, interacting with all levels of employees. Works with outside vendors, including those in need of operational support. Act as the university liaison with the Yale vendors. Responsible for the departmental vehicles to ensure that they are properly maintained and in compliance with university guidelines. Arrange and coordinate building and equipment repairs and maintenance. Respond to safety and security emergencies. Provide a safe and secure work environment. Be on-call 24/7 for all security-related concerns at assigned Yale building. Oversees the license requirements for all departmental drivers. Maintain a maintenance program for Departmental vehicles. Performs staff scheduling and approves time off and payroll. Required Education and Experience Minimum requirement of bachelor’s degree in related field and three years of related experience or an equivalent combination of education and experience. Required Skills and Abilities Required Skill/Ability 1: Strong customer service and supervisory skills. Strong oral, written and interpersonal skills. Required Skill/Ability 2: Ability to define problems, organize and collect data, establish facts, and use independent judgment and decision making. Required Skill/Ability 3: Ability to manage projects spanning multiple stakeholders with the ability to work directly with high-level decision makers. Required Skill/Ability 4: Experience in logistics, warehouse management, and inventory management. Required Skill/Ability 5: Demonstrated ability using computer applications, with the ability to learn new technology. Preferred Education, Experience and Skills Experience supervising staff in a union environment. Forklift knowledge and experience Knowledge of the University’s organization. Experience using inventory software, package tracking software or related applications. Knowledge of US Postal Regulations. Principal Responsibilities 1. Supervises the day-to-day activities of support staff. 2. Assesses and resolves or escalates problems arising within unit. 3. Assists in the development of policies and procedures in support of unit. 4. Assists in long-range planning for work unit needs. 5. Participates in unit budget planning. 6. Evaluates work requests to determine if they are appropriate to the unit or another area. 7. Ensures that work flow is organized and staffed for quality efficient completion. 8. Communicates deadlines and special circumstances to staff. 9. Maintains equipment and supplies for unit. 10. Completes evaluations of direct report employees. 11. Interacts with University personnel to define work assignments and requirements, communicate progress of work, and plan and coordinate projects. 12. Interacts with external sources to coordinate work necessary to fulfill projects, keep abreast of new products and technologies, or arrange for subcontractors. 13. Supervises a staff of exempt and non-exempt employees. 14.
